About the role
We’re looking for an exceptional office manager to own the day-to-day operations that keep our team effective — office space, culture, team support, and the logistics behind an in-person and distributed workforce.
You'll support an in-person team of 20 at our NYC HQ and a remote team of 60, acting as the go-to operator who makes sure the office runs smoothly, people have what they need, and the details are handled. This role sits within our core Operations but supports the whole company.
This is an in-office, high-trust, high-ownership role for someone who is exceptionally organized, proactive, and detail-obsessed, and who thrives in a fast-paced startup environment where no task is too small. The ideal candidate is trustworthy, resourceful, technically capable, and execution-focused — comfortable troubleshooting a laptop issue, coordinating a vendor, and planning an event on the same day.
Office & Facilities Management
- Own the day-to-day operation of our NYC HQ — keep it clean, organized, stocked, and fully functional
- Own office inventory and ordering — stationery, kitchen, equipment, and general supplies
- Manage mail, deliveries, faxes, meeting rooms, and visitors
- Serve as the primary point of contact for office vendors — building super, cleaning company, event catering, and suppliers
Team & Culture
- Own and organize team events, celebrations, on-sites, and offsites
- Help foster a positive, energetic, high-performance culture across both in-person and remote teams
- Create a welcoming, polished in-office experience and be a go-to resource for day-to-day team needs
People and Business Operations Support (HR, Benefits & IT)
- Handle first-line questions on benefits, HR, and facilities — troubleshooting with vendors and escalating to the right support teams
- Own onboarding and offboarding logistics for the in-person and remote team — primarily laptop setup, shipping, and asset/inventory tracking
- Provide first-line IT support for basic user issues (accounts, hardware, common software), escalating more complex problems as needed
- Co-ordinate state registrations and payroll taxes working with external service providers
- Manage employee expenses and reimbursements
- Handle confidential HR information with discretion and care
Executive Support
- Provide coordination for executive team meetings, on-sites, customer visits, and conferences
- Manage founder calendar and travel
- Handle occasional errands and tasks for founder (in-office hours)
What we're looking for
- A recent grad with exceptional organizational instincts and a track record of high ownership (school, jobs, side projects), or 2+ years in office management, operations, or a similar support role
- Exceptionally organized and detail-oriented, with a proven ability to juggle competing priorities without dropping the ball
- A proactive, resourceful problem-solver who takes ownership and figures things out rather than waiting for direction
- Technically capable and comfortable with everyday tech — able to provide (or quickly learn to provide) first-line IT support for common hardware and software issues, like password resets, and to set up and track laptops and equipment
- Strong communication and interpersonal skills, with the discretion and judgment to handle confidential information appropriately
- Reliable, in-office presence at our NYC HQ
- Bonus: experience supporting distributed/remote teams, managing vendors, working at an early state startup
Compliance & Confidentiality
This role involves access to confidential and protected health information (PHI) in the course of handling mail, faxes, and records, as well as confidential HR and employee information. The successful candidate will be expected to handle sensitive information with discretion and to complete HIPAA and privacy training, which we provide.
