Last Energy seeks an Executive Business Administrator to provide comprehensive administrative support to Last Energy’s finance team. This role involves managing communications, optimizing calendars, coordinating travel, and ensuring smooth logistics. The ideal candidate will possess strong organizational skills, professionalism, and discretion while working closely with the SVP of Finance and the finance team.
Key Duties & Responsibilities
- Optimize calendars for the SVP of Finance and other Finance team members for efficient workflow and be readily available for real-time troubleshooting
- Manage communications on behalf of the SVP of Finance and the finance team, demonstrating sound judgment and understanding their voice
- Provide technical support for meetings and events
- Coordinate and arrange meetings, maintain reference agendas, and ensure proper archiving of notes
- Attend meetings as requested to take minutes and ensure follow-through on discussed items
- Coordinate and communicate itineraries for the finance team, ensuring seamless travel and meeting arrangements
- Serve as a liaison with stakeholders, relaying timely and critical information to and from team members
- Exercise discretion in distributing communications to appropriate personnel, particularly when handling sensitive information
- Provide routine notifications to key business partners
- Offer comprehensive administrative support to the SVP of Finance and actively contribute as a valued member of the wider finance team
- Provide support to other senior leadership as needed
Qualifications
- Bachelor’s degree preferred
- Strong command of Microsoft Suite and of Google Suite
- Excellent English writing skills
- Ability to communicate, both written and verbally, in an effective manner to the intended audience
- Critical thinker, ability to creatively solve problems, deal with ambiguity and a fast-paced changing environment
- High motivation & initiative, ability to handle multiple assignments, prioritize, and meet deadlines in a fast-paced environment
- Experience with legal contracting or CRM software is a plus
