Position Overview

We’re looking for an Operations Manager who’s organized, proactive, and thrives in fast-moving environments. You’ll take ownership of the systems and routines that keep our team running smoothly as we scale. The ideal person loves solving problems, creating order out of chaos, and making sure no detail slips through the cracks. You’ll keep the office operating seamlessly, support our people through key moments like onboarding and events, and strengthen the foundation that lets Mach9 move fast and build well.

This is a contract-to-hire role based in our San Francisco HQ, reporting to the Founding Business Operations Lead. The initial contract period is 90 days, with the opportunity to transition to full-time between 30 and 90 days based on performance and mutual fit.

Key Responsibilities

People Operations

  • Own interview scheduling and onsite logistics for candidates

  • Support employee onboarding and offboarding, ensuring smooth transitions

  • Assist with people-related initiatives such as candidate sourcing, milestone celebrations, and HR documentation

  • Plan and execute company gatherings, offsites, and team-building activities

Workplace Operations

  • Manage daily office operations, vendor relationships, and supply inventory

  • Handle mail, deliveries, and facilities maintenance

  • Coordinate with building management for repairs, access, and office upgrades

  • Keep the workspace organized, stocked, and welcoming for employees and visitors

Business Operations

  • Support other operational areas as needed, including finance, revenue operations, and investor relations

  • Document and improve internal processes to create structure and efficiency across the company

Required Skills and Experience

  • 1-5+ years in office management, operations, or coordination roles, ideally within tech or early-stage startups

  • Strong executor: You take initiative, follow through on details, and deliver high-quality work with urgency

  • Organized systems-thinker: You build structure, stay ahead of what needs to get done, and keep operations running smoothly without letting details slip

  • Excellent communicator: You write and speak clearly, align stakeholders, and work well across teams

  • Adaptable: You stay calm under pressure, adjust quickly to shifting priorities, and thrive in a fast-paced startup environment

  • Sound judgment: You handle sensitive information responsibly and exercise sound decision-making in ambiguous situations

  • Tech fluent: You’re comfortable with tools like Slack, Google Workspace, and ATS platforms such as Ashby; you learn new systems quickly

  • Comfortable with hands-on work: You have a low ego and believe that no job is beneath you. You are willing and able to take on physical tasks, whether that’s organizing our office space, or collecting data in the field
